Story Time!



Once upon a time in a land far away there lived one dream. The dream was to be a positive driving force to my family, to my community and my world. In my family, going to college and landing a job is tradition. No one really believes in the disciplines of self-employment. I was taught to find a steady job with a pension plan was more practical, stable and realistic than anything other job. Don't get me wrong, while this is a solid career path, it's a secret killer to the entrepreneur. 

This dream had caused a lot of heartache, pain and tears. I worked jobs that were just not cut out for me and I found myself happy at times, but I wasn't really happy. My entrepreneurship spirit burned deeper each year just as much as my disinterest for a corporate structure. I grew weary of the hustle and bustle of rushing the kids off to school to show up at work tired but with my game face on appearing to be alive. 

If we're being honest, I hid my last pregnancy because I knew in my heart if I was found out I wouldn't be considered for the next promotion. I became dissocial because I was no longer living my dream. My dream of owning my own bookkeeping business had matured into one big nightmare. Everything I had become was nothing I truly wanted for my life or my young family. 

Years earlier I met my husband who at the time had been running a trucking business for at least 7 years. I remembered his story about his journey to owning his own business. It was those stories that inspired me the most. His GRIT! His FREEDOM! His FINANCIAL rewards!  I remember thinking this was directly related to my original dream that had somehow dissolved in time. 

I took everything my husband had taught me in this trucking industry combined with my professional accounting background, and I started bookkeeping for truckers and FAILED.  I was making really good extra income for my family, but I couldn't let go of my main job. I was terrified of letting go of my security blanket. 

Very soon after I would meet my business partner and friend with the same background and desire for entrepreneurship. Together we decided to take charge of all fear and developed mini-courses at the Trucker's Bookkeeper Academy. We wanted to help people who wanted to jump start their career in bookkeeping but not just general bookkeeping. It was important that we niche to bookkeeping for truckers. We now coach, mentor and are leading experts in the trucking industry.

Many owner operators own their trucks and maybe even book their own loads but cringe at the thought of keeping their financial books. THIS IS WHY THEY NEED YOU! Before setting up a chart of accounts or diving into the books of a new client it is important to understand the larger picture and where you, the bookkeeper, fit into that picture. 


An administrative person specific to the trucking industry will reduce language barriers, provide support in the back office, help to onboard new drivers and more but a trucker's bookkeeper has a different role. An owner operator employs a bookkeeper to manage, organize and record financial and nonfinancial transactions. A bookkeeper will understand the overall accounting cycle steps needed to prepare for tax season to help owner operators as they are busy over the road, dispatching trucks, and negotiating contracts. 


Quite frankly, not everyone speaks accounting but it will serve you to acquaint with certain industry terms such as a driver vs carrier. A driver is an individual that operates the motor vehicle. Drivers operate a variety of units like dually's, dump trucks, box trucks, or semi-trailers. In many cases the unit is owned and operated by the driver. In other cases, the unit is owned by the carrier. Motor carriers hire drivers to operate their motor vehicle. In all cases, the motor carrier is responsible for safety as it holds the authority often referred to as an MC.


Think of it this way, Trucker Bookkeepers are sort of like gatekeepers to a financial warehouse. Financial information is maintained weekly, monthly, quarterly and yearly. As bookkeepers, we consistently gather reliable data through the year in the most efficient and effective manner. Before you take on a client, it helps greatly to understand that the accounting cycle. This course will help you start your journey.


Not all bookkeepers will perform all steps of the accounting cycle but it’s still important to understand how your work as the bookkeeper will effect the process. If your client has a CPA or on staff accountant, often the bookkeeper will simply record transactions or other steps of the process. Make sure you and your client are clear on the scope of services you are responsible for and that you put this agreement in writing, signed by both parties.
